A time of worship, to include our Annual Business Meeting is currently planned to be held at Midland Evangelical Free Church on Sunday, June 7, at 5:30 pm.

In addition to our worship time, the agenda will include approval of the minutes of our December business meeting, voting in new members, voting on a second term for three elders, and voting on the FY 2020-21 budget.

Information packets were emailed to members on Saturday, May 23.  If you would like a hard copy of the information packet, please e-mail Melanie Draves or contact the church office at 989.631.4411. In the event the June 7 event cannot be held due to a lack of quorum, the alternative date will be Sunday, June 21, at 5:30 pm.

 

Special Instructions for Those Attending

 

Because of the special approach to this gathering, we ask that you read the following instructions and help us as best you can to make our time go as quickly and efficiently as we can.

 

  • Arrive Early - Please plan to arrive early. We will begin check-in at 4:30 pm, and we will include the name of everyone who arrives and gets through the check-in before 5:00 pm in a drawing for several gift cards to local businesses.

  • Available Entrances - As the meeting will occur in our North Parking Lot, only the South Jefferson Street and back entrances (off of Joe Mann) will be open when you arrive. Once in the parking lot, please follow the cones and directions to the area immediately in front of the office entrance on the East side of the building.  There we will have two (2) separate check in lanes to move things as quickly as we can. You will not be allowed into the North Parking Lot area until you have gone through the check-in lane.

  • Check-In & Meeting Materials - At check-in, you will receive a copy of the written materials for the meeting, including ballots, special meeting instructions, and a copy of the slides for the budget portion of the meeting. If you are a proxy for someone else, you will receive your proxy ballots at check-in as well. Please bring your own pens for marking your ballots.

  • Limited Restroom Facilities - Given current gathering restrictions, and the need to stay in our vehicles as much as possible for the gathering, the restrooms in the building will NOT be open for use. Please be sure to use the restroom before you leave home. We will have three (3) portable restrooms available in the parking lot (with hand sanitizers and wipes) if there is a need.

  • Health and Safety - During the meeting, we will be observing appropriate social distancing measures and wearing appropriate protective gear. All volunteers at check-in and collecting ballots will be wearing masks and gloves. We ask at least the driver to be wearing a mask at check-in if possible. Masks will be available at check-in if you should need one.

 

Regardless of your personal beliefs or comfort levels, thank you for your understanding and adherence to these requests in consideration of those in our body who may be more at risk for health or other reasons. If you have any questions about any of the above, please e-mail Melanie Draves.

 

Drive In Format

Because of the current state orders limiting the size of indoor, in-person gatherings, and to respect continuing social distancing and health and safety requirements, our intention, subject to applicable orders and regulations at that time, is for this event to be conducted in a "drive in" style (with attendees staying in their cars) in our church parking lot.

FM RADIO

The event will be broadcast by an FM receiver on channel 88.7, with full Q&A and debate opportunities during the business meeting portion, like any other business meeting. To be able to participate fully in the event, you will need to come in a vehicle with FM receiver capabilities.

SOCIAL DISTANCING

We will be conducting the event with careful attention to all applicable social distancing and regulatory requirements and taking as many precautions as we reasonably can to ensure the health and safety of those who are participating.

PROXY

If you are unable to attend the Business Meeting portion of the event, you may ask someone to proxy for you and notify the clerk of the proxy. If you must do so, please designate your proxy by following this link.

An attending member may vote proxy for only one absent member. Proxy requests must be submitted in advance of the event, and if submitted electronically no later than 12:00 pm (noon) on Saturday, June 6, 2020 for the June 7 event date (or 12:00 pm (noon) on Saturday, June 20, for the alternative June 21 event date).  If you need to establish a proxy for your vote and cannot do so through the link please e-mail Melanie Draves or call the church office at 989.631.4411.

Please Note: Proxies do NOT count towards a quorum, and we must have a quorum (30% of the Regular Membership) present at the event to conduct business.

In light of the current COVID situation, no childcare will be available.
